Quality Systems Document Specialist

The position is responsible for producing high quality, easy to understand, documentation that is appropriate for a food production facility and contributes to the overall success and safety of our products and teams.

General Description of Duties

The position is responsible for producing high quality, easy to understand, documentation that is appropriate for a food production facility and contributes to the overall success and safety of our products and teams. The position reports to the Regulatory Supervisor. The role will require close collaboration with the food safety and quality assurance teams and regulatory affairs, as well as various other internal teams throughout the company. This individual must maintain a positive work atmosphere by behaving and communicating in ways that foster good relationships with clients, co-workers and supervisors, while achieving and enhancing performance standards.

Essential Job Functions

- Research, outline, write, and edit new and existing content, working closely with various departments to understand project requirements.
- Write user-friendly content that meets the needs of the target audience.
- Independently and cooperatively gather information from subject matter experts and various agencies to develop, organize, and draft procedures and process documents.
- Managing, updating, drafting, and routing new and existing documentation to ensure consistency across corresponding documentation and production facilities.
- Communicate with department leadership to identify documentation requirements, revise, edit, and create procedural documentation, and ensure documents are stored appropriately.
- Create document templates that uphold organizational, regulatory, and legal standards.
- Become familiar with domestic and international company quality system.
- Provide document support for third party, regulatory agency, and internal audit preparation.
- Maintain and organize registers required by various departments including, but not limited to, the food safety and quality systems.
- Must have regular, punctual attendance.
- Perform all other duties as assigned.

Requirements

- Associates degree or higher with a technical writing, legal assistant, or equivalent preferred.
- Superior writing, grammar, and spelling in English, with a keen eye for detail. Additional languages, beneficial.
- Two years of experience in document control and processes is a plus, experience in standard operating procedures is a plus.
- Experience managing multi-level data software systems preferred.
- Proficient with MS Office Suite, experience creating spreadsheets.
- Proficiency with Adobe required, experience with Vizio is a plus. Must have the ability to add and edit illustration in Adobe.
- Must be able to learn new software systems.
- Organizational skills and ability to work independently to complete projects required.
- Must report to any company facility according to company need, sometimes with same-day notice.

Compensation Range: Actual salary/hourly wages are determined upon a variety of factors such as level of experience, skills, education and /or certifications, and location.
